The problem
Count the hours a week your people spend moving data from one window to another. Here are the three most expensive habits.
Leads copied from email to CRM by hand, invoices one by one, statuses posted in chats. An hour a day of copy-paste is 250+ hours a year per employee. At Polish rates that's thousands of zloty for work a €900 workflow does.
Forgot to call back, lost an email, sent the invoice late. Every little slip costs a client and a piece of reputation. Automation doesn't forget and doesn't go on vacation.
Website, CRM, inventory and accounting live separate lives, and Excel reconciles them on Fridays. Numbers drift apart, decisions get made on stale data.

A typical chain: a lead comes in — and everything else moves on its own, all the way to CRM, team and report.

Formats
Three typical sizes. Start small: one connection pays for itself in weeks and shows where to dig next.
Two systems start working together: a lead from your website lands in the CRM and in your Telegram on its own.
For the first step and proving the effect
A whole process, from lead to invoice. Notifications, statuses, documents - no manual steps.
For processes spanning 3-5 systems
Several processes plus AI steps: email classification, reply drafts, data extraction from documents.
For companies where routine is the bottleneck
Leads from your site, forms, ads and messengers land in your CRM with fields filled — no manual re-entry.
Deals move through stages automatically: tags, tasks for managers, reminders — AmoCRM, HubSpot, Pipedrive.
Telegram, WhatsApp, Slack, email — the team hears about what matters in seconds, not the next day.
Contracts and quotes generated from templates, exports to Google Sheets, daily and weekly reports on autopilot.
Site, CRM, sheets, inventory, accounting — data moves between systems via API, no duplicates, no drift.
Where decisions are needed: email classification, enquiry parsing, conversation summaries, on-brand replies.
Zero risk
Not verbal promises - actual clauses in the contract we sign before work starts.
The price is set before we start and doesn't change along the way. More processes than planned - we agree on a new quote first, then I build.
The launch date is in the contract. If a delay is on me, you get a discount for every week it slips.
Every workflow is under watch: if something breaks, I see it before you do and fix it. Errors don't pile up quietly for weeks.
n8n is deployed on your server, access and documentation stay with you. Switch developers - everything keeps running.
The process
A typical plan for a Flow. A Connection goes through the same steps in a couple of days, a System takes 2-4 weeks.
30-60 minutes on how work actually flows: where leads come from, who moves what where, what gets lost. You get a process map, a quote and the first thing to automate.
I connect your systems and build the flow in n8n or Make: triggers, conditions, error handling. You keep working as usual in the meantime.
The workflow runs in parallel with the old process: edge cases, duplicates, retries. Nothing breaks in production.
We switch to autopilot and I set up alerts. For the first week I watch every run. You get the access and a short manual.
Plans
One flow across 2–3 tools — leads, notifications and data moved with no hands.
1 flow · Make / n8n · 2–3 integrations · 3–5 days
Several linked flows with CRM and notifications, plus error handling and logs.
Multiple flows · CRM · API · reports · 1–2 weeks
End-to-end department automation, turnkey: dashboards, monitoring and support.
Full build · dashboards · monitoring · support · 3+ weeks
Exact price depends on the number of integrations and flows — we’ll scope it on a free call.
Describe the task in two sentences. You get a fixed price, a timeline and a plan. If it isn't a fit for us, we say so straight away and point you elsewhere.
Comparison
Four ways to deal with routine. Three of them cost something, the fourth costs the most - it just never shows up on an invoice.
| buildbyalex | Integrator | DIY Zapier | Leave as is | |
|---|---|---|---|---|
| Upfront | €900-3 500 one-time | from €5,000 | subscription + your evenings | €0 |
| Monthly | €5-30 hosting | retainer | €20-600 for operations | team hours every single day |
| Time to launch | days, not months | 1-3 months | one evening, if you're lucky | never |
| When it breaks, who fixes it | I do, alerts tell me first | a ticket in the queue | you do | nothing to break, it's all manual |
| AI steps in the process | for an extra fee | limited | no | |
| Complex logic and custom APIs | yes, pricey | builder limits | no | |
| Workflows and access are yours | not always | you rent a platform | nothing to own | |
| Payback | weeks | months | depends on you | a loss every month |
The math is simple: routine hours per week × hourly rate × 52. That number is almost always several times the cost of the automation.
The ones you do over and over each week, that follow rules and run on digital data — copying data between apps, invoicing, reminders, lead qualification. We start with a short audit and I pick the 2–3 processes with the biggest time savings.
An AI agent is a conversation — a bot talks to your customer. Automation is the plumbing between systems: lead → CRM → notification → report, no human in between. They often run together: the agent talks, the automation moves data behind the scenes.
A single automation (lead → CRM → notification) is usually a few thousand zloty and 3–7 days. A chain of several processes with reports — 2–3 weeks, quoted after analysis. Running it on n8n on your own server is near zero; on Make/Zapier usually €20–100/mo. Fixed quote before we start.
First effects — less manual work, cleaner data — show in 2–6 weeks; full payback most often in 2–6 months. When I quote, I estimate how many work hours the automation hands back, so you know up front when it'll pay for itself.
Depends on scale: Zapier is simplest for the basics, Make is cheaper and more powerful for richer logic, and n8n gives full control over your data (self-hosted on your own server). Complex, critical steps I write in Node.js. I pick the tool to fit your process, not the other way around.
Yes. I work in line with GDPR and data minimization, and when needed I run the solution (e.g. n8n) on your own infrastructure so customer data never leaves it. We agree who has access and how long data is kept.
I monitor every automation and wire in failure alerts — if a step breaks or a service changes its API, you know immediately, not a week later after the leads have vanished. Fixes are covered by support.
If it has an API or webhooks — almost certainly yes. AmoCRM, HubSpot, Pipedrive, Telegram, WhatsApp, Google Workspace, Notion, hundreds of apps via Make/Zapier. If the API is closed, I'll tell you straight on the call.
We work across all of Poland and remotely — Warsaw, Kraków, Wrocław, Gdańsk, Poznań or a smaller town, it makes no difference. Calls, demos and handover happen online; the contract and payment are remote. An in-person meeting in Warsaw is available on request.
