A private language school near UMCS - Polish for Ukrainians, English for students, exam prep. One administrator physically couldn't keep up, replies went out 3 to 6 hours later, and by then the person had already signed up at the school across the street. Inquiries came in three languages, some of them at night.
What we did. I put a single agent on all three channels with one shared knowledge base: group levels, schedule, prices, open seats. It understands a question in PL, UA or RU, checks the goal (exam, conversational, from scratch), matches the right group, offers specific trial-lesson slots and writes the lead into the CRM tagged with level and language. The tricky cases - discounts, corporate groups - go to the administrator with the context already gathered.
The result over that first September on the agent: around 65% of incoming inquiries closed without a human, replies came back in seconds at any hour, and trial-lesson sign-ups stopped getting lost overnight. The administrator spent her time on live groups and payments instead of chat.
